At Recrew, AI assists our recruiters. AI assists recruiters and does not replace human judgment. Recrew does not rely solely on automated decision-making to make hiring decisions that produce legal or similarly significant effects. Here is exactly how we use AI in our hiring process and what that means for every candidate and company we work with.

Introduction

This notice explains how Recrew, owned and managed by Global Roots Inc., uses AI in our recruitment process. This includes CV parsing, candidate screening, and job matching. We are committed to fairness, transparency, and compliance with the EU AI Act, the General Data Protection Regulation, and other applicable data protection and artificial intelligence laws, including the Digital Personal Data Protection Act, 2023 (India). This notice should be read alongside our Terms of Use and Privacy Policy. In the event of any conflict between this notice and the Privacy Policy, the Privacy Policy shall prevail to the extent of such conflict.

Controller vs Processor Clarity

Depending on how our platform is used:

(a) Recrew may act as a data processor where enterprise clients use the platform for their internal recruitment processes; and

(b) Recrew may act as an independent data controller where it provides recruitment services directly to candidates and employers.

How We Use AI in Recruitment

Our platform uses AI to assist expert recruiters in the following areas.

CV Parsing

We use AI to extract key details from submitted CVs, including skills, qualifications, and experience. This enables recruiters to review candidate profiles more efficiently; however, all extracted information remains subject to human verification.

Candidate Screening

AI evaluates applications against predefined job requirements and generates summaries and insights based on predefined job requirements. These outputs are assistive in nature, and the profile is reviewed thoroughly by human recruiters before arriving at any hiring decision.

Job Matching

AI suggests suitable roles based on your profile to support recruiters in identifying potentially relevant opportunities. Such suggestions are indicative only and do not constitute any guarantee of suitability or selection.

AI-Assisted Decision Making

In some cases, AI generates insights about candidate suitability. All such insights are assistive in nature and are subject to meaningful human review before being relied upon in any hiring decision. Recrew does not rely solely on automated decision-making to make decisions that produce legal or similarly significant effects on candidates.

Profiling Disclosure

Certain features of the platform may constitute ‘profiling’ under applicable data protection laws, as they evaluate aspects of a candidate’s professional suitability. Such processing does not result in automated decision-making that produces legal or similarly significant effects without human involvement.

Your Rights

As a candidate, you have the right to

  • Be informed when AI is used in processing your application
  • Request a human review of any AI-assisted decision that affects your hiring process
  • Receive meaningful information about the logic involved in AI-assisted processing, subject to the protection of proprietary information.
  • Correct or update your data if AI-generated insights contain errors
  • Request restriction or objection to AI-assisted processing, where technically feasible.

Data Privacy and Fairness 

We make sure AI processing follows GDPR principles of lawfulness, fairness, and transparency.

  • Implementing periodic reviews and testing of AI systems to identify and mitigate risks of bias or discrimination based on protected characteristics such as gender, age, race, or other applicable criteria.
  • Processing and storing personal data in accordance with applicable security standards and retaining such data only for as long as necessary for legitimate recruitment purposes or as required.

Third-Party AI and Data Sharing

We work with third-party AI providers for CV parsing and job matching. All such providers are engaged under appropriate contractual arrangements, including data processing agreements, and are required to comply with applicable data protection and artificial intelligence laws, including GDPR and the EU AI Act.

Your personal data is not sold and is only shared with third-party providers for recruitment-related purposes. Such providers are contractually restricted from using personal data for any purpose other than providing services to Recrew and are subject to confidentiality and security obligations. Personal data may be processed in multiple jurisdictions, including the United States and India. Where required, such transfers are carried out in accordance with applicable data protection laws, including through appropriate safeguards.

Updates to This Notice

We may update this notice from time to time to reflect changes in applicable laws, regulatory requirements, or improvements in how we use AI. Material updates will be communicated through platform notifications or other appropriate channels.

AI Assists, People Lead It.

Hiring is one of the most important decisions a company makes. We take that seriously. The following principles reflect how we use AI in recruitment and the standards we seek to uphold in its deployment and oversight.

Decisions Belong to Humans

Recrew does not rely solely on automated decision-making to reject or select candidates. Our systems are designed to ensure that AI-generated outputs are reviewed by human recruiters prior to any decision affecting a candidate. AI-generated outputs may be reviewed, challenged, and overridden by human recruiters as part of the recruitment process. Final hiring decisions are made by the hiring team.  AI is intended to support, and not replace, human judgment in recruitment decisions.

Data Integrity, Not Data Scraping 

We evaluate candidates based on information they knowingly provide, assessed against the role requirements and hiring criteria defined by the company. We do not scrape or build profiles from unrelated third-party sources. Where relevant, we may process publicly available information. Candidates are assessed based on information provided by them and other relevant information lawfully available for recruitment purposes. We seek to ensure that data collection and use in our recruitment processes remain fair, transparent, and proportionate.

Transparency You Can Stand Behind

Core components of our AI-assisted processes are documented and capable of being reviewed, subject to confidentiality requirements. We support candidate disclosure and consent mechanisms to enable communication regarding the use of AI tools and the role of such tools in the recruitment process. Our processes are designed to support internal audits and regulatory review. We seek to implement compliance as an ongoing and integral part of our operations.
